We are seeking a Director of Financial Operations to lead day-to-day financial execution and partner closely with our client stores and PCA leadership on planning, reporting, and system improvements. This is a full-time leadership role with the opportunity to earn equity in PCA and build out a high-performing finance team over time.

Position Overview

The Director of Financial Operations is responsible for managing the full scope of financial operations across PCA’s client portfolio, from managing and overseeing payroll and accounts payables to cash flow forecasting, bank management, and reporting. This individual will ensure systems are GAAP-compliant, cannabis-regulation-ready, and scalable.

You will also serve as a trusted advisor and coach to store owners, guiding them through budgeting, interpreting results, and identifying operational efficiencies. This is a dynamic and collaborative role that blends execution with strategy—and requires a clear, patient communicator who thrives in high-growth environments.

Key Responsibilities

1. Weekly Financial Operations

Payroll Administration

• Oversee bi-weekly payroll using HR software across all client locations
• Ensure timely wage entry, tax remittance, and accurate employee recordkeeping
• Support HR processes tied to hiring, separation, and compensation changes

Accounts Payable Management

• Oversee invoice processing and the direct facilitation of payments from client bank accounts
• Maintain organized documentation and enforce vendor terms and payment cycles
• Manage vendor relationships, escalate issues, and negotiate more favorable terms as needed

Sales & POS Reconciliation

• Post and reconcile weekly POS data across all stores
• Track revenue, discounts, promotions, and returns, flagging discrepancies for follow-up
• Ensure sales data aligns with compliance and tax reporting requirements

Sales Tax Compliance

• Prepare and file cannabis sales tax returns with New York State and local authorities
• Monitor filing calendars and regulatory updates in coordination with compliance teams
• Maintain audit-ready documentation and reporting frameworks

Bank Account Oversight

• Manage checking, high-yield, and tax savings accounts to ensure optimal liquidity, tax preparedness, and reserves
• Monitor daily balances, automate transfers, and coordinate with clients to plan for major obligations
• Provide banking documentation and support for licensing, compliance, and lending needs

2. Monthly & Strategic Finance

GAAP-Based Financial Reporting

• Prepare monthly reports including Income Statement, Balance Sheet, Trial Balance, and Statement of Cash Flows
• Maintain accrual-based books using QuickBooks Online and ensure reports are clear, actionable, and aligned with GAAP
• Schedule review sessions with clients and PCA leadership to interpret results

Cash Flow Forecasting

• Maintain rolling cash flow models for each client, updated regularly with actuals and upcoming obligations
• Collaborate with clients to align capital planning with store performance and seasonality
• Identify risks or shortfalls early to inform decision-making

3. Coaching, Collaboration & Systems

Client Advisory & Financial Coaching

• Lead regular finance meetings with clients to review performance, answer questions, and build financial fluency
• Support budgeting, staffing plans, purchasing decisions, and scenario analysis
• Create simple, effective tools to help operators improve margin and manage spend
• Support as initial point of contact alongside PCA executives for store owner questions and operational support.

Data & Strategy Collaboration

• Work closely with PCA’s CEO, CFO, and VPs to provide store-level and portfolio-wide insights and reporting
• Assist with financial planning, performance reviews, and long-term goal setting
• Help align retail operations with capital strategy and investor expectations

Vendor & Tech Stack Optimization

• Evaluate and improve tools across accounting, payroll, HR, and POS systems
• Deliver actionable feedback to vendors and tech partners to streamline workflows and improve accuracy
• Lead and coordinate onboarding of new tools, integrations, client registrations, or reporting enhancements as needed

Qualifications

• 5–8+ years in financial operations, accounting, or controller/CFO-level roles
• Experience in financial operations in a startup environment or with cannabis retail
• Familiarity with cannabis industry or regulated, cash-heavy businesses is a plus
• Strong understanding of GAAP accounting, financial modeling, and compliance best practices
• Proficiency in QuickBooks or Sage, Gusto/HR/PEO software, and POS systems.
• Knowledge of New York-specific rules for payroll, HR, sales tax, and IRS 280E compliance preferred
• Proven ability to drive operational improvements across systems and teams
• Strong communicator with experience managing external vendors, banks, accountants, and clients
• Analytical, organized, and excited to build infrastructure in a scaling business
